B.1 Roles
When your visitors join the queue you are the data controller and RaceLoop the processor. You decide why the data is collected; we process it only on your instructions and under this agreement.
B.2 What is processed
Name, email address, time of registration, which simulator the visitor chose, lap time, and any notes your staff write. The category of data subjects is visitors at your events. No special category data is collected, and the system must not be used for it.
B.3 Purpose
To run the queue during the event, and if you have enabled lead collection also to let you follow up with visitors afterwards. We do not use your visitor data for our own marketing and never pass it to other organisers.
B.4 Security
Data is encrypted in transit, access requires authentication, and each organiser's data is separated from every other's at system level. Our staff have access only to the extent needed for operations and support.
B.5 Sub-processors
We use sub-processors for hosting and email: currently Railway (hosting), Vercel (web), Stripe (payments) and Resend (email). All process data within the EU/EEA or under a valid transfer mechanism. We notify you before replacing a sub-processor that handles visitor data.
B.6 Retention and deletion
Visitor data is deleted automatically after the period you choose in the panel, 90 days by default and 365 at most. You can delete all visitor data at any time from the panel. The event itself and its statistics remain, without personal data.
B.7 Data subject rights
Visitors may request access, correction or erasure. You answer them. We help you without undue delay with whatever you need from the system, and export and deletion are self-service in the panel.
B.8 Personal data breach
If we discover an incident affecting your visitor data we notify you without undue delay, with what we know about what happened, which data is affected and what we are doing about it.
B.9 When the relationship ends
When your account is closed we delete your visitor data within 30 days, or sooner on request. You get the chance to export it first.
